How we use your data

1. Who we are

The Consulate General of Romania in London (Glen House, Glenthorne Road, London W6 0PP) decides how the information described here is used. It is the data controller.

2. What we collect

When you register for an event:

• Your name and email address.
• Your phone number and organisation, if you give them. Both are optional.
• How many people you are bringing, any dietary requirements, and any note you add.
• The IP address you registered from, and the date and time.
• Whether you ticked the box asking to hear about future events.

If you bring guests, we record the name and organisation you give for each of them. That information comes from you, not from them, so if you are registering someone else please tell them this page exists.

At the event we record the time you checked in. If you send feedback afterwards, we keep your ratings and comments only. The feedback form does not ask for your name or email, and we have no way of telling who sent which response.

We also keep contact lists used to send invitations: name, email and organisation.

3. Why we use it

• To manage your registration, send your ticket, let you in at the door and know how many people to expect. This is necessary to run the event you asked to attend.
• To invite institutional and community contacts to official events. We rely on our legitimate interest in carrying out consular and community work.
• To tell you about future events run by the Consulate or together with its partners, only if you ticked the box. That is your consent, and you can withdraw it at any time. These emails come from us, not from the partners: ticking the box does not give any partner your contact details for their own use.
• To improve future events, using the feedback you send us.

Registering is not conditional on agreeing to future contact. If you leave the box unticked you will still receive everything to do with the event itself.

4. Photographs and filming

Photographs and video are usually taken at our events and may be used by the Consulate to report on its activity, including on its website and social media. If you prefer not to appear, tell a member of staff at the door or write to contact@rocommunityhub.ro and we will do our best to keep you out of shot and to remove you from material we control.

Other guests may take photographs too. We do not control what they photograph or where they post it, and this notice does not cover it. If we republish a guest's photograph on our own channels, then this notice applies to that use.

5. How long we keep it

Three years. Registration and attendance records are kept for three years after the event, contact details for three years after our last contact with you, and feedback for three years. After that they are deleted.

If you ask us to delete your details sooner, we will, unless we are required to keep them.

6. Who else sees it

Consulate staff working on the event. We do not pass on your details for any purpose other than those described in this notice.

Some events are organised together with partner organisations. Their names and logos appear on that event's own page, and where an event is run jointly we may share the list of people attending with those partners so that it can be organised and run. We will not share your details with any organisation that is not named on the page for the event you registered for.

7. Your rights

• Ask what we hold about you, and get a copy.
• Have mistakes corrected.
• Ask us to delete your details.
• Object to how we use them, including for invitations.
• Withdraw your agreement to future contact at any time, by using the unsubscribe link in any such email or by writing to us. This does not affect anything already sent.

8. Complaints

If you are unhappy with how we have handled your data, please tell us first so we can put it right. You can also complain to the Romanian supervisory authority, the Autoritatea Națională de Supraveghere a Prelucrării Datelor cu Caracter Personal (ANSPDCP), at dataprotection.ro or anspdcp@dataprotection.ro.
